Every server, workstation, network device, and peripheral is cataloged with age, condition, warranty status, and remaining useful life. We flag hardware that is at or near end of life so remediation costs can be estimated accurately.
Practice Management Software
We assess the practice management system (Dentrix, Eaglesoft, Open Dental, Curve), including version currency, licensing status, database health, and integration with imaging and billing systems. Unlicensed or out-of-support software is flagged.
Imaging Systems
Dexis, CBCT, panoramic, and intraoral camera systems are evaluated for hardware condition, software version, licensing, and compatibility with current and future hardware. Imaging data storage location, size, and backup status are documented.
Backup & Disaster Recovery
We verify what is being backed up, where, how often, and whether backups have been tested. Many practices have backup systems that have never been restored — we identify this risk and document what a proper backup posture would require.
HIPAA Compliance Posture
We assess the practice's HIPAA technical safeguards: encryption at rest and in transit, access controls, audit logging, Business Associate Agreements with vendors, and documented policies. Gaps are flagged with risk ratings. For buyers, this is critical — HIPAA liability transfers with the practice.
Network Infrastructure
Firewall, switches, wireless access points, VLANs, and internet service are evaluated for age, security configuration, and adequacy for the practice's size and workflow. Network diagrams are created where none exist.
Software Licensing & Subscriptions
All software licenses and recurring subscriptions are inventoried: what transfers with the practice, what requires new agreements, and what is expiring. This prevents post-close surprises with vendors who require re-licensing under new ownership.

Prioritized cost estimates to address each finding, so buyers can adjust offers or negotiate credits with accurate numbers rather than rough guesses.
Reports are typically delivered within five business days of the on-site assessment. For time-sensitive transactions, expedited delivery is available. We are happy to present findings directly to buyers, sellers, or their legal and financial advisors.
Common Questions
How long does the on-site assessment take?
Most single-location practices take two to four hours on-site, depending on the number of operatories, workstations, and systems involved. Multi-location assessments are scoped individually.
Does the current owner need to be present?
Ideally yes, or a knowledgeable staff member who can answer questions about current IT providers, vendor relationships, and systems in use. Access to server rooms, network closets, and administrative workstations is required.
Can you assess a practice outside the Front Range?
We primarily serve the Colorado Front Range — Denver, Golden, Boulder, Fort Collins, Colorado Springs, and surrounding areas. Contact us for practices outside this area and we'll let you know if we can accommodate the engagement.
